Effective 23 July 2025
Frequently Asked Questions (FAQ) – Session Times and Billing Update Effective 23 July 2025
1. Why has there been a change to standard session times now?
Since we started Therapy and Stuff OT, for the past 5 years we have maintained the same pricing despite increasing operational costs. The operational costs such as clinic rent, utilities, insurances, training, software, therapy resources, consumables and vehicle expenses have increased considerably over the last 5 years.
To ensure we can continue to provide safe, high-quality therapy, we are now adjusting to include actual time spent on essential non-face-to-face work such as session planning, sanitising, documentation and feedback in the standard billing.
2. Is the hourly rate of Occupational Therapy service increased?
The hourly rates remain the same - $193.99 for OT, Educator/Key Worker and $86.79 for Therapy Assistant (Level 2) and only the therapy session times are changing.
3. Does this mean my child will receive less therapy?
The face-to-face time remains at 45 minutes, which is best practice for engagement and regulation, particularly for children. The remaining billed time reflects the essential work therapists and assistants do outside of the session to support your child’s progress.
4. I’m funded by the NDIS. Will this affect my therapy budget?
We continue to follow the NDIS price guide and bill within the allowable hourly rates. However, please be aware that NDIS therapy rates have not increased in over 7 years, despite rising costs in wages, travel and clinic operations. The 2025–2026 pricing review also cut therapist travel rates by 50%, which places added strain on small, family-centred services like ours.
To continue the quality care that your child receives, we encourage you to advocate directly with NDIA and local political representatives for fair funding that reflects the true cost of providing quality therapy and supports. You can either write to the NDIS Minister or sign a petition that advocates for NDIS to stop the cuts and allot fair funding. Your Voice Matters. https://www.change.org/p/stand-up-for-disability-support-stop-the-ndis-cuts.
5. What is included in the non-face-to-face time?
This includes:
Session planning and preparation,
Setup and pack-down,
Sanitising therapy spaces and resources,
Loading and unloading time in the car,
Writing clinical notes and providing caregiver feedback.
These tasks are critical to delivering safe, individualised and high-quality care.
6. Why is the session preparation time longer for Therapy Assistants?
Considering the costs involved, OTs and Educators would be absorbing some of the costs involved in session planning and preparation.
7. How will I know what I am being charged for?
Invoice communication will clearly show:
The duration of face-to-face and non-face-to-face time
Any travel time and travel mileage (for community sessions)
A breakdown if it is a non-standard session (group session, activity-based session).
If you ever have questions about your invoice/billing, we welcome you to reach out before paying it.
8. What are the travel costs involved and how is it calculated?
Travel costs involve time spent on travel and distance travelled (kilometres) from the Burpengary Clinic to Service location.
Until recently, we have not charged for travel mileage even though funding bodies such as NDIS allowed it. However, as of 23 June 2025, we introduced a mileage fee to continue to keep paying the staff their travel allowance.
9. What about the fees for report writing, school meetings, emails or phone calls?
These are classified as non-face-to-face supports (longer than 5 minutes) and will be billed separately at the relevant hourly rate for your therapist or therapy assistant. This is consistent with NDIS, Medicare and private billing standards.
10. I use Medicare (e.g., Care Plan from GP) for paying OT. Can I still claim?
Yes. With eligible GP Care Plan to see OT, Medicare allows rebates for eligible face-to-face components of therapy. The additional non-face-to-face time may not be claimable under Medicare, but it ensures a higher quality and safer service for your child. You would pay for the OT session and get a rebate from Medicare (currently $61.80).
11. Do I need to sign a new Service Agreement?
As there is no change in hourly rate or service provisions, there is no need to sign a new Service Agreement. If there are any changes, we will request you to sign a new Service Agreement.
12. Who can I speak to if I have more questions about this pricing update?
You are very welcome to contact our Client Care team via contact@therapyandstuff.com.au or 0403015665.
